Time and money

Know what a job actually cost.

Garments and decoration are the easy half. The other half is hours. Staff clock on to a job at a floor station, the hours cost at their own rate, and every margin figure in Reports carries labour with it.

The clock

A time clock built for a print shop, not an office.

One screen, two buttons, an order number. It works on the tablet already stuck to the press bench.

Clock on to a job

Type or scan the order number. The entry books against that job, with the stage it was at when the clock started.

One clock per person

Enforced in the database, not in the browser. Two taps on a shared tablet cannot open two clocks or double-count an hour.

Rate frozen at clock-on

A pay rise next quarter does not rewrite the cost of a job that shipped last month. Historical margin stays historical.

Managers can correct it

Forgotten clock-offs happen. Filter to anyone still on the clock, fix the time, and minutes and cost recompute from the entry's own rate.

Hours on the order

Every order page shows hours booked and what they cost, next to what the job sold for.

No extra subscription

In every plan. No per-seat charge for the people doing the work.

Job costing

Margin after labour, by day, method and customer.

Gross margin flatters a job that took three hours of press time. Reports show both figures so you can tell which work is actually worth quoting again.

Costs snapshotted, not recomputed

Garment cost and decoration cost freeze onto the line when it is saved. Supplier price rises next month do not rewrite last month's margin.

By decoration method

Screen against DTF against embroidery, revenue, cost and margin percent for each. The mix that pays is rarely the mix you assumed.

By customer

The customer with the biggest revenue is not always the one with the biggest margin. The report says which is which.

Labour-heavy jobs listed

The jobs that ate the most hours in the period, ranked, so you can requote or rethink them.

Honest exclusions

Lines with no known cost are excluded rather than counted as free goods, and the report says so on the page.

CSV out

Export any report and take it to your accountant, or into your own spreadsheet model.

Commission

Pay your reps on what shipped, not what was promised.

Assign a rep to an order, and their rate is frozen onto it. Commission is earned on dispatch, on the ex-tax value.

Rate per rep

Set it once on the team record, in basis points, so 12.5% is exact. It stamps onto every order they are assigned.

Ex-tax base

Tax is never commissionable. The base is subtotal plus setup fees, less discount, so a discounted job pays out on what you actually kept.

Earned on dispatch

A quote that never ships never earns. Commission appears in the period the order left the building.

Totals per rep

Orders, ex-tax value and commission per rep for the last 7, 30 or 90 days, ready for payroll.

Time tracking and job costing: questions

How do staff clock on to a job?
They open the time clock station on any shop floor tablet or phone, type or scan the order number, and tap Clock on. Tapping Clock off closes the entry and books the hours against that job. One clock per person, so a double tap cannot open two.
How is labour cost calculated?
Each team member has a labour rate on their record. The rate is snapshotted when the clock starts, so a later pay rise never rewrites the cost of a job that already shipped. Hours multiplied by that rate is the labour cost on the job.
Can I see profit per job, not just revenue?
Yes. Garment and decoration costs are snapshotted onto every order line, and clocked labour is added on top. Reports show costed revenue, cost of goods, gross margin and margin after labour, broken down by day, decoration method and customer.
How does sales commission work?
Assign a rep to an order and their commission rate is frozen onto it. Commission is earned when the order dispatches, calculated on the ex-tax value of the order, so tax and freight never inflate a payout. Reports total it per rep for the period you choose.
Can a manager fix a forgotten clock-off?
Yes. Operate then Time on jobs lists every entry, filters to anyone still on the clock, and lets a manager correct the times. Minutes and cost recompute from the entry's own snapshotted rate.
Does time tracking cost extra?
No. Labour tracking, job costing and commission reporting are in every plan, like everything else in Printer's Friend.
